This Privacy Policy describes how SnowGo National Services LLC ("we," "us," or "our"), operating the SnowGo Operations service coordination platform (the "Service"), collects, uses, retains, and discloses information. It applies to our staff and dispatcher accounts, subcontractors, client contacts, and visitors to our client portal.

1. Information We Collect

  • Account and profile information — name, email address, role, and login credentials for platform accounts.
  • Phone numbers — for dispatch staff, subcontractors, and client contacts enrolled in our SMS program.
  • Communications — text messages, phone calls, voicemails, and transcripts of calls and voicemails generated by the Service.
  • Call recordings — where call recording is enabled, calls are recorded following a disclosure played at the start of the call. Voicemails are recorded and transcribed by their nature.
  • Photos and service documentation — photos, notes, and records submitted to document snow and ice services performed.
  • GPS location and timestamps — captured from field staff at check-in and check-out for service verification.
  • Site, weather, and service records — service site details, weather observations, and service activity logs.
  • Device and usage data — standard technical data such as IP address, browser type, and usage logs generated by the Service.

2. How We Use Information

  • Providing and coordinating snow and ice management services;
  • Dispatch communications with field staff and client contacts;
  • Safety and quality verification of services performed;
  • Creating and retaining service records, photos, and communications as business records — including for the documentation, defense, and resolution of disputes, claims, and legal matters;
  • Analytics and service improvement, including performance, scheduling, and operational analysis;
  • Customer service and support;
  • Legal and regulatory compliance.

3. Data Retention

We retain records for as long as reasonably necessary for the purposes described above, including for the duration of applicable statutes of limitation for claims arising from services performed. When records are no longer needed, they are deleted or anonymized. Anonymized or aggregated data that no longer identifies any individual may be retained and used for analytics.

4. How Information Is Processed and Disclosed

We disclose information only as follows:

  • Service providers acting on our behalf — including communications infrastructure (Twilio) for calls and text messages; hosting and data storage providers; and AI processing services that assist our operations by transcribing voicemails and analyzing messages, transcripts, and images. These providers are bound by contract to use the data only to provide services to us.
  • Legal requirements — when disclosure is required by law, subpoena, or court order, or to protect the rights, property, or safety of our company, our personnel, our clients, or others.
  • Business transfers — if we are involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.

We do not sell personal information.

5. Mobile Information and Text Messaging Consent

No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent will not be shared with any third parties.

6. Security

We use reasonable administrative, technical, and physical safeguards to protect information, including role-based access controls, authenticated access to recordings and records, and encryption in transit. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

7. Your Choices and Rights

Access, correction, and deletion

You may request access to, correction of, or deletion of your personal information by emailing info@snowgo.us. We will honor requests except where retention is required for the business-record, claims, and legal purposes described in Sections 2 and 3.

Text messages

You can opt out of text messages at any time using the keywords described in the SMS Program Terms.

8. Children

The Service is a business platform and is not directed to individuals under 18. We do not knowingly collect personal information from anyone under 18.

9. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date at the top reflects the most recent revision. Material changes will be communicated through the Service or by other reasonable means.
